What Certify does
Visual workflow design
Build multi-step approvals, reminders, escalations and scheduled reviews in a drag-and-drop designer, then run them against your SharePoint items. Conditions, branches, loops, delays and variables are all configured — never coded.
Approvals that reach people
Send email and Microsoft Teams notifications, and collect decisions through interactive Teams cards or a branded approval page. Approvers act without needing a Certify licence or a SharePoint edit permission.
Controlled documents
Publish, revise and archive controlled documents with version numbering, effective dates, approval evidence and a document register — driven by per-row actions directly inside the library.
Dashboards and charts
Place compliance KPI tile boards and live charts over your SharePoint lists on any page. Tiles are click-through, opening the filtered list behind the number.
AI-assisted design (optional)
Describe the process you want in plain language and get a draft workflow to review and refine in the designer. Optional, and off unless you use it.
Full audit history
Every run is recorded step by step — what fired, who approved, what changed and what failed — so you can evidence a process to an auditor.
What's in the package
Certify is delivered as a SharePoint Framework (SPFx) solution that your administrator deploys to your app catalogue. It adds four web parts and three extensions:
| Component | Type | What it's for |
|---|---|---|
| Workflow Designer | Web part | Build, publish and manage workflows, and review run history. |
| Email Templator | Web part | Drag-and-drop builder for the emails your workflows send. |
| Chart Canvas | Web part | Live charts over SharePoint list data, placed on your pages. |
| Compliance Dashboard | Web part | KPI tile boards showing counts of overdue, pending and completed items. |
| Certify Workflow | ListView Command Set extension | Run and monitor workflows from a list or library toolbar. |
| Document Controller | Field Customizer extension | Per-row publish / change / archive actions and controlled-document columns. |
| Email Templates | Form Customizer extension | Edit email templates inside the SharePoint form experience. |
How it works
- 1. Connect. A Microsoft Entra administrator grants consent so Certify can act on the SharePoint sites you nominate.
- 2. Deploy. The SPFx package is added to your app catalogue and the apps are added to the sites that need them.
- 3. Design. You build workflows in the Workflow Designer against your own lists and libraries, choosing the triggers and actions you need.
- 4. Run. Workflows fire on item changes, on a schedule, or on demand. Notifications go out, approvals come back, and every step is logged.
Who it's for
Quality, compliance and operations managers, and the IT administrators who support them, in organisations already running Microsoft 365. Certify suits teams maintaining an ISO or similar management system — controlled documents, corrective actions, audits, risk registers and objectives — who want SharePoint to do the follow-up work.
Requirements
- Microsoft 365 with SharePoint Online.
- A SharePoint app catalogue and permission to deploy an SPFx solution.
- Microsoft Entra administrator consent to connect Certify to your tenant.
- Microsoft Teams (optional) — only if you want Teams notifications and approvals.
- A modern browser. No desktop install and no on-premises server are required.
Security and your data
Your business content stays in your tenant. When a workflow runs, the engine reads and writes only the items that workflow touches, processes them transiently, and does not keep a copy afterwards. We do not mine or sell your content.
Certify stores the operational data needed to run the platform — your workflow definitions, email templates, run history and audit records, and administrator account details. The Certify engine and administration portal are hosted on infrastructure operated by DevPro Studio in Australia; your documents and list items remain in your own Microsoft 365 region. Run history is retained for a limited period by default and then pruned automatically.
Full detail, including GDPR and UK GDPR roles, retention periods, sub-processors and breach notification, is in the Privacy Policy and Terms of Service.
Pricing and how to buy
